Should Christmas Raffle Prizes Be Displayed Before the Draw or Kept Controlled?

Do not place every packed Christmas raffle prize on the public table by default. First decide what the audience must see and what staff must keep controlled. Use the actual winner unit only when public handling is acceptable. Use one labeled reference sample when the presentation helps explain the prize but the winner unit should stay in a named hold area. Use a description card when the physical prize should not be displayed.

This is a packaging-control decision, not legal advice. Raffle requirements vary, so confirm the rules that apply to the event before designing the display, draw or claim process. Whatever route is permitted, the public description, physical prize and draw record must continue to identify the same prize.

Freeze the prize register before choosing bags

Give the event a version and create one row for every approved prize. Record a unique prize ID, plain-language description, public-display route, completed-prize reference, exact package row, hold location and exception status. Do not use Christmas artwork as the prize ID: a design may be substituted or repeated.

Choose one of three display routes

Actual-unit display: place the exact completed prize on the table only when event rules allow it, the item can remain controlled and the handling plan accepts public exposure.

Reference-sample display: show one approved sample or empty presentation bag while the actual packed winner unit remains in a named staff-only location. Mark the display clearly as a reference.

Description-card display: show a photo and accurate description when privacy, security, fragility, space or another approved constraint keeps the unit off the table. Every route still needs the same prize ID on the public reference and controlled package.

Use the exact live product facts—and keep the gaps visible

Do not assume an adhesive will bond safely to the laminated surface or remove without damage. Test the chosen label on the exact sample, or attach an event-approved tag where it does not obstruct the opening, artwork or planned grip. The alphanumeric prize ID—not the decorative design—remains the primary control.

Map each winner unit to a named hold location

A “back table” is not a location. Use a stable code such as H2 or Cabinet B—Shelf 1. Arrange units by prize ID, not perceived value or artwork. A second volunteer should be able to locate R-014 without seeing the public table or receiving an unwritten clue.

If one reference represents several claimable units, give each winner unit its own suffix and record. If a prize is substituted, withdraw the old record and issue a dated replacement state; never reuse the old label silently.

Rehearse the draw-to-claim handoff

1. Announce the prize ID and approved public description.
2. Record the winning ticket or recipient reference according to event rules.
3. Retrieve the package from its recorded hold location.
4. Match the draw record to the controlled-unit label.
5. Use the approved supported handoff method.
6. Mark claimed, unclaimed, substituted, withdrawn or damaged.
7. Have a second person reconcile the display, hold area and draw record.

Reset and give the procedure to an uncoached volunteer. Any wrong location, artwork-based guess, detached label or verbal workaround is a failed control, even if the correct prize eventually reaches the winner.

Issue a three-copy raffle prize control card

Copy one stays with the public display reference; copy two travels with the controlled winner unit; copy three remains with the draw and claim record. All copies name the event version, prize ID, description, display route, exact Design-SKU, completed-prize reference, hold location, exception state and approver. Reopen the card after a prize, bag row, display policy, location or applicable rule changes.

If repeated trials identify a specific label zone, artwork area, dimension, material or construction requirement that ready stock cannot satisfy, document that measured gap before discussing custom Christmas gift bags.
